Understanding “Meter Charges” Simply: What Are You Paying For?

If you have ever leased a photocopier, you have probably seen a line item on your monthly invoice that says “Meter Reading” or “Click Charge.”

For many business owners, this is a source of confusion. “Why am I paying a rental fee AND a meter charge?” “Did I print this many pages?” “Why is the color printing charge so much higher?”

1. What is a “Meter Charge”?

Think of your copier lease like your TNB electricity bill.

  • The Rental Fee: This is your “connection charge.” It pays for having the machine in your office.
  • The Meter Charge: This is your “usage charge.” You pay for exactly what you consume.

Every time a piece of paper comes out of the machine, the internal counter goes up by “1.” At the end of the month, we take the total number of pages printed and multiply it by your agreed rate.

2. The Golden Rule: “You Don’t Buy Toner”

This is the biggest misconception. When you buy a small home printer (like an HP or Canon inkjet), the machine is cheap, but you have to pay RM 300+ every time the ink runs out.

In a Copier Lease, the model is flipped. Your Meter Charge COVERS the cost of toner, spare parts, and labor.

  • If you print 5,000 pages, we send you free toner.
  • If you print 0 pages, you pay RM 0 in meter charges.
  • You never have to worry about the price of ink cartridges again. The “Click Charge” is an all-inclusive maintenance fee.

3. Black & White vs. Color: Why the Price Difference?

You will notice two different rates on your contract:

  1. Mono (B&W) Charge: Usually very low (e.g., a few cents).
  2. Color Charge: Usually 5x to 10x higher.

Why? It comes down to the hardware.

  • To print Black & White, the machine uses 1 Drum and 1 Toner (Black).
  • To print Color, the machine must use 4 Drums and 4 Toners (Cyan, Magenta, Yellow, Black) simultaneously.
  • Printing in color causes 4x the wear and tear on the machine and uses 4x the materials. That is why the cost is higher.

4. The “A3 vs. A4” Math

This is the most common question we get from clients who track their paper usage strictly.

  • Standard A4 Paper: Counts as 1 Click.
  • Large A3 Paper: Counts as 2 Clicks.

Since A3 paper is double the size of A4, it uses double the amount of toner and drum rotation. The industry standard is to count it as “two pages” on the meter.

5. How to Lower Your Monthly Bill

Since you pay per page, you can control your costs. Here are 3 tips we give our clients to save hundreds of Ringgit:

  • Set “Black & White” as Default: Configure your office computers to print in B&W automatically. Only select Color when absolutely necessary.
  • Use “User Authentication”: The Canon machines we lease allow you to set passwords. You can block junior staff from printing in color entirely.
  • Ignore “Duplex” (Double-Sided): Printing on both sides of the paper saves paper, but it does not save meter charges. The machine still has to print two images, so it counts as 2 Clicks.
