How to Choose the Right Print Speed (PPM) for Your Office

“I want the fastest machine you have.”

We hear this a lot at XH Copier. It is natural to think that “faster is better.” But in the world of copier leasing, speed costs money. If you lease a Ferrari to drive in a school zone, you are wasting your budget. On the other hand, if you try to run a busy law firm with a slow budget printer, your staff will spend hours waiting by the machine instead of working.

The industry standard for measuring speed is PPM (Pages Per Minute).

Here is a no-nonsense guide to finding the “Goldilocks” speed—not too fast, not too slow, but just right for your business.

1. Understanding PPM (The Speed Limit)

PPM tells you how many A4 pages the machine can spit out in exactly 60 seconds.

  • Low Speed: 20 – 30 PPM
  • Standard Speed: 35 – 55 PPM
  • High Production: 60 – 85+ PPM

The difference between a 25 PPM machine and a 60 PPM machine might just look like numbers, but the rental price difference can be hundreds of Ringgit per month.

2. The “Peak Hour” Test

Many business owners calculate their needs based on monthly volume. They say, “We only print 5,000 pages a month, so a slow machine is fine.”

This is a mistake. You shouldn’t plan for the average; you must plan for the Peak Hour.

Ask yourself: When does my team print the most?

  • Is it spread out evenly? (A slower machine is fine).
  • Or does everyone rush to print reports at 9:00 AM on Monday for the weekly meeting?

If 5 people send print jobs at the same time on a slow 20 PPM machine, the last person will be standing there for 10 minutes. That is “downtime,” and it costs you money in lost productivity.

3. Matching Speed to Your Industry

The Small Admin Office (25 – 35 PPM)

  • Ideal for: Startups, Account departments, Warehouses.
  • Why: You print invoices and delivery orders one by one. You rarely have a line of people waiting.
  • Recommended Model: Canon imageRUNNER ADVANCE C5255i. It is budget-friendly and handles steady, light work perfectly.

The Busy Corporate / Law Firm (45 – 60 PPM)

  • Ideal for: Legal firms, Marketing agencies, Corporate HQs.
  • Why: Law firms often print 50-page contracts in triplicate. You need a machine that can finish that job in seconds, not minutes, so the next person can use it. Speed is critical here.
  • Recommended Model: Canon imageRUNNER ADVANCE C5560i. This is the workhorse standard—fast enough for 20+ staff without breaking a sweat.

The School / Copy Center (65 – 85+ PPM)

  • Ideal for: SJK(C) Schools, Print Shops, Factories.
  • Why: You are printing exam papers or manuals in batches of 500 or 1,000. A standard office copier will overheat and jam if you push it this hard. You need a “Production” class engine.
  • Recommended Model: Canon 8505 or DX8905. These are built like tanks and are designed for pure speed.

4. The Dangers of “Over-Buying”

Why not just get the fastest one to be safe? Because higher speed machines use more electricity, take up more space, and come with a higher monthly rental fee.

If you only print 10 pages a day, getting an 85 PPM production printer is like buying a bus to drive one person to work. It’s overkill.

Summary: The 1-Minute Rule

A simple rule of thumb we use at XH Copier: If your average print job takes longer than 1 minute to finish, your machine is too slow.

  • If you regularly print 50-page documents, you need at least 50 PPM.
  • If you mostly print 1-page invoices, 25 PPM is plenty.
